For those of you who do not get email, here 1s the latest letter I have sent out to the members and residents of Glen Haven.
Wednesday, April 16, 2014
Dear Neighbors,
I did not intend to write to you again so soon, but I just noticed another glaring omission in the Notice of Annual Meeting sent by our Board this year. The board forgot to mail us an absentee ballot form! This is something that is done every year so that our members who may be travelling or ill can vote in our election. Again, our board is either unschooled in the rules, or has some reason for disenfranchising you (taking away your right to vote in our election)!
I have attached below an old ballot form I had from 2006 to demonstrate what we SHOULD have received in the mail. Please notice the absentee section at the bottom
In our undated Notice, the board says “as we discuss and decide how we will manage the business of the association”. Apparently the Board feels that there is no guidance regarding how the association is to be run.
I need to mention for the benefit of the the 9 members of the board that it has already been decided how we will manage the business of the association. The rules are IN THE BYLAWS AND IN THE ARTICLES OF ASSOCIATION. IF IT CAN’T BE FOUND THERE YOU MAY LOOK IN THE PREVIOUS DIRECTIVES VOTED BY BOARDS.
There is nothing about the basic running of the association to be decided. The board should follow the rules and laws that have already been dictated by our organizing documents and by the laws of the state of West Virginia and Federal Government instead of making up their own rules.
They could start by sending out a packet for the membership announcing an Annual Meeting including and Agenda, a Ballot, a Proxy form and an Absentee Ballot form as has been done in the past. More trickery and mystery is uncalled for. Why make it impossible to vote unless you are present at the meeting? This has been done with a purpose and I must surmise that it has to do with manipulating the election and the members.
This is just another example of the secrecy and high handedness that are the watchwords of this board. Remember, there are no posted agendas for board meetings, no posted minutes afterwards, no truly informative newsletters about the actual business of the community, and no financial information to be had. If we ask, for instance, how much the new sidewalk cost, we are told it is “confidential” (translation=none of our business).
We need to make some changes. We want the board to treat us like adults and not children to be controlled and parented by the few.
Lets' Heal.
Vote for Lou, Nancy, Cyndy and Shauna
Warmest Regards,
Shauna Johnstone

P.S. Since the Board did not as custom dictates, send out a legal
ballot form with an absentee option, I have attached one. If you are not going to be at the election, and you don’t wish to use the proxy form I sent yesterday, please use the ballot form and send it (CERTIFIED mail preferred) to 44 Glen Haven, Harpers Ferry, WV 25425. If you let one of the four candidates know, we will make sure it is acknowledged and counted at the election.
